The Documents Buyers Actually Request

Most incoming requests fall into four groups. Seating performance reports cover structural strength and durability under repeated use. Desk and storage reports cover stability, load, and the mechanism of height-adjustable models. Indoor air quality and low-emission programmes address what the product releases into a room after installation. Restricted substance declarations confirm that components and finishes meet the chemical rules of the markets you serve. A smaller group covers responsibly sourced wood, recycled content and take-back.

Each request usually names a scheme or a standard. Seating is often quoted against ANSI/BIFMA X5.1, and workplace seating with height-adjustable mechanisms may also be asked to satisfy BIFMA X5.5. Indoor air quality enquiries frequently reference GREENGUARD. Wood sourcing questions reference FSC. Components and finishes attract REACH and RoHS questions in the relevant regions. Establish which scheme applies before you promise anything.

Who Issues What, and How to Plan Evidence

Test reports come from accredited third-party laboratories, not from the party selling the chair. Emissions and wood-sourcing schemes are run by their own programme bodies, and certification is held by the organisation that applied. That distinction matters in practice: a certificate may cover one plant, one product family or one period, and it does not transfer automatically to a new model or a new finish.

Plan evidence while quoting rather than after the order lands. Identify the exact model, finish and mechanism in the enquiry, then check which report, certificate or declaration already exists. Ask what a new test would cost and how long the queue runs, and confirm the name of the certificate holder and the scope it covers. Record expiry dates and re-test cycles in your quotation notes so nobody is surprised at renewal.

What Not to Promise

Never commit to a document you cannot obtain. Offering a test report "on request" when the test has never been run creates a dispute you cannot win, and passing on a report that covers a different model is worse than silence.

Where evidence is genuinely unavailable, say so early. Buyers can often accept a phased route, such as a declaration now and a full report before a second shipment. What they cannot accept is a missing file at the loading dock once the order is confirmed.
