FF&E vs. OS&E: Where Furniture Fits

FF&E covers the movable, non-permanently-installed items that define a space: casegoods, seating, beds and bases, tables, desks, mirrors and decorative fixtures, lamps, and often artwork and window treatments.

OS&E covers what the hotel operates with: linens and terry, tableware, housekeeping carts, kitchen smallwares, front-desk equipment, and consumables.

The two are budgeted, sourced, and delivered separately. Furniture sits inside FF&E and is usually its largest component, which is why specification quality has an outsized effect on the whole package.

A working rule: anything fixed to the building is neither. If it moves and the guest touches it, it is usually FF&E. If staff use it to run the hotel, it is usually OS&E.

The Typical Project Sequence

1. Design intent — look, material direction, and guest experience goals.

2. Spec sheet and furniture schedule — dimensions, materials, finishes, hardware, and performance requirements, by room type and quantity.

3. Budget check — priced against the FF&E budget before anything is committed, including freight, duties, and installation.

4. Sampling and finish approval — finish samples and fabric cuttings approved in writing.

5. Mock-up room — one complete room built and inspected as the live reference for every later unit.

6. Production — usually batched by room type or floor.

7. Inspection — dimensions, finish consistency, upholstery workmanship, hardware function, packing.

8. Shipping — consolidated loading, documentation, and transit aligned to the site schedule.

9. Installation — staged delivery to the correct floors and rooms, with punch-list remediation.

The Mock-Up Room: Your Most Important Quality Gate

A mock-up room is one fully furnished room built before full production. It is the cheapest place to find a problem and the most expensive place to skip. It tests real-world scale, finish relationships under the project's actual lighting, build quality by hand (joinery, seams, upholstery tension, drawer action), and installability through doors and corridors.

Treat it as a written approval milestone: log, resolve, and sign off every observation. The approved mock-up becomes the benchmark against which production is inspected.
