Hotel Brand Conversions Rewrite the FF&E Brief

Owners converting an existing property to a brand or soft brand face a different furniture brief than a new build. The brand standard is fixed, but the building is not: room footprints, corridors and lift cores were set years ago. That mismatch now shapes hotel conversion furniture planning.

What is changing

A conversion forces two sets of rules together. Brand standards specify colours, casegood proportions, upholstery and finish families, and they are usually non-negotiable. The existing building, however, was designed around a different operator, so the brief has to reconcile the standard with what the shell allows. Buyers increasingly describe the result as a retrofit brief: the furniture is chosen not only for how it looks, but for whether it can physically reach the room and fit the space left for it.

What it means for buyers and suppliers

Physical constraints decide what is actually deliverable. Corridor widths, lift capacity and door openings limit the size of a one-piece casegood, so suppliers are often asked for knockdown or modular construction that installs inside the room. Existing ceiling heights and window reveals affect headboard and wardrobe dimensions. Matching new furniture to retained pieces is a second challenge, because a reupholstered chair or a repolished table has to sit convincingly beside a new one, and finish samples become the deciding evidence.

What to do now

Treat the conversion as two projects running at once: a design exercise and a logistics exercise.

  • Measure corridors, lifts, stairs and door openings before finalising any large piece.

  • Decide early which existing items are retained and match new pieces to them by sample.

  • Plan a phased install so blocks of rooms stay sellable throughout the works.

  • Confirm knockdown or modular options with the supplier while the brief is still open.

What to watch: Watch how early the brand standard and the building survey are reviewed together, because a late discovery about lift or corridor access can force the whole casegood package to be respecified.
