Hotel Furniture Installation and Site Coordination: A Practical Guide

On paper, installation is the shortest phase of a hotel project. In practice it is where schedules slip: a lift that cannot take a headboard, a corridor too narrow for a sofa, or a driver who arrives before the site is ready to receive. None of these are furniture problems, but all of them become the supplier's problem if nobody planned for them.

Before the Container Arrives

Confirm site readiness in writing. Check the delivery route for truck access, turning space and unloading equipment; measure the lift, stairwells, corridor widths and door clearances against the largest items — a sofa or wardrobe is usually the limiting piece. Agree where goods can be staged and who protects finished floors and walls. Match the delivery sequence to your construction and cleaning schedule, and check any building rules on working hours and permits.

Sequencing and On-Site Supervision

Install floor by floor or zone by zone rather than room by room across the building; moving a crew once is cheaper than moving it ten times. Furniture should follow wet trades and usually precede final cleaning, so protection is essential. Keep one person responsible for the day plan and have the supplier's supervisor or an experienced fitter on site for the first zone, so any assembly or fit problem is solved before it repeats across fifty rooms.

Snag Lists and Handover

Walk every room with a joint snag list. Record each item with a photo and a category: touch-up required, replace, or missing. Agree a rectification window and who pays for what, keeping the snag list factual rather than personal. Before handover, retain spares for the opening weeks — glides, fixings, touch-up materials and a small number of replacement components — and photograph completed rooms as a record of condition.
