Sofa Pre-Shipment Inspection: A QC Checklist for Importers

Pre-shipment inspection is the last point at which quality problems are cheap to fix. Once the container leaves, every defect becomes freight, delay and lost sales.

The inspection is straightforward, provided the order was specified properly in the first place.

Before the Inspection: Prepare

• Approve a golden sample and keep it — inspection is a comparison against this reference, not against opinion.

• Confirm the specification sheet: dimensions, fabric or leather code, foam density, leg type, mechanism (for sleeper models), labels and packaging.

• Agree the inspection standard — sampling plan and acceptable defect levels — and whether a third-party inspector will attend.

• Fix the timing so furniture is finished and packed, but not yet loaded.

What to Check

1. Measurements against the specification — overall length, depth, seat height and back height.

2. Frame integrity. Press and rock the sofa; listen for creaks and check legs and joints for movement.

3. Seat and back feel. Foam should recover quickly and feel consistent across cushions, not hollow or lumpy.

4. Stitching and alignment. Consistent seams, no puckering, pattern matching across cushions, zips functioning.

5. Fabric condition. Look for pulls, shading differences between pieces and colour variation against the approved swatch.

6. Legs and base. Level, stable and correctly finished; protectors fitted.

7. Mechanisms on sleeper sofas: open and close several units fully and check the mattress and hardware.

8. Labels and marks. Care labels, carton marks and item codes matching the packing list.

9. Packaging. Corner protection, moisture barrier, strapping — then confirm quantity and carton count.

After the Inspection

• Record findings with photos and video, and require a written defect report.

• Decide clearly: pass, rework or short-ship — do not accept "we will fix it on the next order".

• Ask for a corrective action report so the same defect does not repeat.

• Keep the golden sample until the next production run is approved.
