Hotel Furniture Landed Cost: A Buyer's Guide to True Import Costs

When comparing hotel furniture suppliers, the quoted unit price is the most visible number and the least complete one. Two suppliers quoting the same FOB price can deliver very different total costs once packing, freight and clearance are accounted for.

Landed cost — the cost of the goods sitting in your warehouse — is the only figure worth budgeting against.

What Goes Into Landed Cost

• Goods value. Unit price × quantity, as quoted on your agreed Incoterm.

• Export packing. Special crate or pallet requirements are often extra.

• Inland freight to port and origin handling charges.

• International freight. Ocean is usually far cheaper per cubic metre than air for furniture; rates move with season and route.

• Insurance. Small relative to the goods, but essential for high-value FF&E.

• Customs duty and taxes. Rates depend on product type and destination country — always confirm with your customs broker, since duties vary widely and change.

• Port, terminal and clearance charges, plus any demurrage if documents are late.

• Inland delivery to your site, including unloading and any lift equipment needed.

• Contingency. Damage, rework or re-shipment is rare but expensive; budget for it.

A Simple Way to Compare

Landed cost per unit = (goods + packing + freight + insurance + duty + charges + delivery) ÷ units

Then compare suppliers at that level. A supplier with a slightly higher unit price but denser packing or better container utilization can be the cheaper option overall.

Ways to Reduce Landed Cost

• Increase container utilization and reduce empty air with knock-down or stackable designs.

• Consolidate multiple orders or ranges into one shipment.

• Choose the right Incoterm for your team's experience: FOB gives control, CIF simplifies, DDP removes risk but usually costs more.

• Improve packaging to cut damage claims, which are always more expensive than the packaging that prevents them.

• Plan earlier and avoid rush charges on freight and production.
