Customising School Furniture: Questions Buyers Ask

Q1. What can realistically be customised on a school furniture order?

Frame color, top dimensions within a workable range, edge trim color, seat shell color, and logo placement are the routine options. Beyond that, factories will adapt height ranges, add casters or glides, change the desk-to-chair pairing, add bag hooks, tablet slots or cable management, and adjust packaging to your carton marking. What they will not change cheaply is the base structure of a moulded shell or a welded frame, because that means new tooling.

Q2. Does a custom size or colour raise the minimum order quantity?

Usually yes, but not always by much. Standard colors and sizes run at the lowest minimum because the factory schedules them into existing batches. A custom powder-coat or laminate color typically lifts the minimum to a full batch, often one container or a set number of units, because the color is run as one continuous pass. Custom dimensions that stay inside existing tooling and panel sizes usually do not raise the minimum at all.

Q3. When is a tooling or mould charge involved?

A tooling charge appears when the part cannot be made from existing tooling — a new shell shape, a new moulded edge profile, a proprietary desk frame, or a size outside the current press and extrusion capacity. Costs vary widely, so ask for the amount, what it covers, and whether it is refundable through future order volume. Some factories amortize tooling across the first order instead of invoicing it separately.

Q4. How is a custom colour matched and approved?

Matching starts from a reference you supply: a Pantone number, a RAL code, a laminate sample, or a physical part from existing furniture. Powder coat is matched to the nearest available RAL or a custom powder batch; laminate to a supplier's decor code. Approval should be on a physical chip or coated panel viewed in daylight, never on a screen. Keep the approved chip and record the code on the order and the packing list.

Q5. How much longer does a custom order take than a standard one?

Add roughly two to four weeks for a custom color and four to six weeks if new tooling or a custom extrusion is needed, on top of the normal production window. If a sample has to be made, approved and then repeated in mass production, the sample stage is usually the longest single addition. Orders that change specification after production starts lose more time than any of these, so freeze the specification early.

Bottom line: Customization is workable when it stays inside existing tooling — the further a design moves from the standard range, the more the cost and the calendar move with it.
